Virtual Recognition Ceremonies

Back by popular demand! BGS will be hosting five society wide virtual recognition ceremonies during the 2021-2022 academic year. While we encourage chapters to host in person or virtual recognition ceremonies, if possible, we understand that may not be feasible. These ceremonies are designed to support all your efforts this year and is not intended to overshadow any events hosted by your chapter. Students, alumni, chapter contacts, family and friends can RSVP to any ceremony if they would like. As a reminder, member names will not be read, nor will their camera be on however, the chat function will be available for any questions or post. These virtual ceremonies typically last 15-20 minutes.



Media Submissions

Has your chapter recently hosted an event? Do you have a BGS focused article, press release, or newsletter? Maybe you have photos from a recent ceremony? BGS would love to share your content!

Chapters can now submit and share materials, including articles, press releases, social media posts, or photos related to BGS chapter activities and celebrations (this does not replace the BGS Gives Back submission process) to the BGS HQ through our website. There is no limit to the number of submissions you can share.

By submitting related items each academic year, your chapter would be fulfilling one of the available point earning opportunities for the annual honor roll program.



Chapter Training

Beta Gamma Sigma offers its collegiate chapter advisors, admins, and deans the opportunity to learn first-hand the best methods for operating their BGS chapter through the newly revamped 2021-2022 Virtual BGS Chapter Training. This on demand training is designed to provide chapter leaders with the knowledge and tools needed to support your chapters efforts while also allowing you to access the training at your own leisure.

Chapter leaders can access the training through the CMS and clicking on Collegiate Chapter Training and the My Courses tab. You can access the seven-part training videos at any time and once completed, you’ll log your completion date within the CMS. Chapters can receive points towards the honor roll program by completing the Chapter Training every three years.



Ordering Chapter Supplies

Chapters can order supplies including honor cords/stoles, professor of the year medallion, t-shirts, chapter honorees and more through the chapter dedicated BGS store which can be accessed through the CMS and Order Supplies tab. All orders are managed by our fulfillment center, Award Concepts, and payment is required at time of purchase.

In the event your chapter does not have access to a credit card, you can follow these steps:

Orders will not be processed and shipped until payment is received

  • Screenshot both the shopping cart screen as well as the completed shipping screen (with the correct shipping method selected). This allows our vendor to see all the requested items, where it should be shipped to, and your delivery preference.
  • A printed copy of the order screenshot can be sent along with your check payment to:

If you’re sending the check via Mail, you can use PO Box 4305, St. Charles, IL 60174. 

If you’re sending the check via Fed Ex because of a need for expediting your order, use the physical address 110 S. 11th Ave. , St. Charles, IL 60174 (since Fed Ex won’t deliver to PO Boxes). 

 

If your system creates a PO you can send that to Award Concepts and they will be sure the corresponding PO # gets added to the sales order for easier receiving on your end.

  • IF you require a proforma invoice, email those screenshots to bgs@awardconcepts.net and Award Concepts can create that for you.  If Award Concepts does that, please include a copy of that proforma invoice with the check and screenshots with your payment.



Invitations
As you’re planning out your chapter’s 2021-2022 year, including on campus and virtual events, don’t forget to utilize these free on demand resources to support your efforts:


To enhance your overall member acceptance on campus, consider sending follow up emails, text, social media posts, website notices, or even letters from the Dean, prior to uploading to the CMS congratulating students and providing info on BGS and what to do when the invitation arrives from HQ. The official invitations will come from the sender BGSmembers@betagammasigma.org with the subject line You’re invited to join Beta Gamma Sigma! The invitation sent through the CMS does not call attention to your chapter’s ceremony date, time, or location. Those details will need to be shared with invitees through your chapter directly.



Certificates and Lapel Pins

As a friendly reminder, chapters are now asked to note Yes and click Update to confirm your preference within the CMS if they would like to receive the printed certificates and lapel pins for an upcoming ceremony. Certificates will have a line for your dean and the chapter advisor to sign. Certificate and lapel pin orders are only sent to the chapter. The date noted on a printed or digital certificate will reflect the ceremony date the invitee was invited to.

There is no fee to the chapter to receive the certificate and lapel pin orders that fall for invitees who accept within the Certificate Processing Schedule for a set ceremony date.

  • Please be sure to include your university address as the return address when mailing out your certificates.

IT Update

On October 18, 2021, we experienced a brief outage to the betagammasigma.org website. 

Steps were taking to correct this immediately and further steps have been taken to minimize the likelihood this will happen in the future.

We apologize for any disruption this may have caused and appreciate your patience as we corrected the issue.

We are beginning the process of moving to a new payment system for betagammasigma.org.  We do not yet have a date on when this will be implemented as we are still in the early stages of discussion, but we plan to have it rolled out in mid-2022.
